CONTEXT:

The Prince George Community Foundation (PGCF) is a charitable organization whose mission is to provide the opportunity make a lasting charitable donation to enhance the community forever.  It should be a creative force in enhancing and strengthening our community.  The PGCF is the vital link between caring community members and local causes that matter.  

JOB PURPOSE:

Reporting to the Director of Operations and Finance as well as the Director of Development, the Administrative Assistant is responsible for the following areas of the Foundation’s work: administrative support to the management team; communications and social media posting

PRIMARY DUTIES AND RESPONSIBILITIES:

Administrative Support 

  • Provides administrative support to the Management team, through the organization of meeting materials, internal communications, and the preparation of documents, minutes, reports and other information.
  • Ensures efficient operation of the Foundation office, prepares documents for the directors, maintains office supplies, mailing, and maintains paper files and computer network files etc.
  • Maintains and develops grant distribution information, and organizes the data for the retrieval of reports.
  • Assists with stewardship of donors through the updating of contact information, correspondence, fund reports and invitations, as well as friendly conversation with a wide variety of stakeholders, including answering of phones and emails.
  • Work in partnership with the Director of Development to ensure the smooth and efficient flow of information to support the goals of the foundation.

Communications

Prepares and distributes a variety of communications (such as media releases, newsletters, pamphlets, grant applications and reports), and maintains the efficiency of the public website and other communication formats, including social media under the direction of the management team.

Research

  • Assists the Director of Development in prospect research, as assigned
  • Help compile prospect database and enter information into Fondant, as requested by the Director of Development 
  • Performs other duties as assigned
